Payments software for med spas and aesthetics clinics
Med spas need three payment flows that a plain card terminal does not cover: a deposit to hold an appointment, a prepaid package of treatments drawn down over months, and a recurring membership billed monthly. Enterprise Pay Gateway gives you hosted checkout links for all three, card processing through Stripe, and payouts into your own bank account — a fixed monthly subscription plus a platform fee from 0.20% to 0.75%, with Stripe's processing fee billed separately by Stripe.

Typical ticket
$250–$1,200
Injectables, laser courses and body contouring sit far above a normal retail basket, so deposits and packages matter more than card-present speed.
Membership fit
High
Monthly memberships bundling facials, product credit and member pricing are now standard, which makes recurring billing a core requirement rather than an add-on.
No-show cost
60–90 min chair
A missed injector appointment cannot be resold at short notice. Card-on-file deposits are the single highest-impact payment change most clinics can make.
Where the money leaks
No-shows burn the highest-value slots
Aesthetic appointments are long and provider-bound. Taking a card at booking, held as a deposit against the treatment price, changes cancellation behaviour immediately and is far easier to enforce than an invoice sent afterwards.
Packages are tracked in spreadsheets
Clinics sell six-session laser courses and then track redemption by hand. When the money is collected up front through a single checkout, the accounting is clean and the revenue is recognised where it belongs.
Memberships fail silently
A membership only earns if the card keeps working. Failed-payment retries, expiry updates and a customer-facing billing portal stop quiet churn that nobody notices until the month closes.
Multi-location money is opaque
Two or three sites usually means two or three terminals and no combined view. Consolidated volume, average ticket and fee reporting removes the monthly reconciliation exercise.
The four payment flows you need
- 1
Booking deposit
Share a deposit checkout link when the appointment is confirmed. The card is charged immediately and the amount is credited against the treatment.
- 2
Treatment package
Create a product for the full course at its package price. One checkout collects the whole amount and the client redeems sessions over time.
- 3
Monthly membership
Bill members on a schedule with automatic retries on a declined card, and let them update details through a self-serve billing portal.
- 4
Retail and aftercare
Sell skincare and aftercare products from the same storefront page so post-treatment revenue is captured without a second system.
What med spa payment processing actually costs
There are two separate costs and any provider who blends them is making comparison harder. The first is card processing, charged by Stripe directly to your account — Stripe's published US online card rate is 2.9% plus 30 cents at the time of writing, and card-present, international and currency-converted transactions differ.
The second is the software platform fee. Enterprise Pay Gateway charges a fixed monthly subscription from $49 plus a platform fee that falls as volume rises: 0.75% on Starter, 0.60% on Growth, 0.40% on Pro, and a negotiated 0.20%–0.35% for Enterprise clinics and groups.
For a single-site clinic doing $80,000 a month, that is the Growth plan: $99 plus roughly $480 in platform fees, alongside whatever Stripe charges for processing. Run your own numbers on the pricing page before deciding.
Deposits, cancellations and what you can legally keep
A deposit is only defensible if the client agreed to it in writing before the charge. Put the cancellation window and the deposit amount in the booking confirmation and on the checkout description — the description shows at payment and is the evidence a card issuer looks for in a dispute.
Keep the deposit proportionate to the loss. Full-price charges for a missed appointment attract disputes; a fixed deposit credited against treatment almost never does.
Refund promptly when a client cancels inside the window. A fast refund costs less than a chargeback, which carries a fee and counts against your dispute ratio regardless of who was right.
Memberships that survive card failures
Roughly one in ten recurring card charges fails at some point in a year, usually because a card expired or was reissued after fraud. Without retries and a way for members to update their card, that failure becomes silent churn.
Use scheduled retries over the days following a decline, an email that links straight to a billing portal, and a clear rule for when access pauses. Members who can fix their own card almost always do.
Compliance notes specific to aesthetics
Card data never touches your systems with hosted checkout, which keeps your PCI obligation at the simplest self-assessment level. That is the right default for a clinic with no in-house engineering.
Payment records are financial records, not clinical ones — keep treatment notes in your clinical system. Enterprise Pay Gateway stores what is needed to reconcile a payment: amount, date, product name and the customer email used at checkout.
Medical aesthetics is generally treated as a standard-risk category by card processors, but describe your services precisely during verification. Vague descriptions are the most common cause of onboarding delays and later account reviews.
Frequently asked questions
- Can a med spa take a deposit to hold an appointment?
- Yes. Create a deposit product at the amount you want to hold, share its checkout link when confirming the booking, and credit the deposit against the treatment price. Publish the cancellation terms in the booking confirmation and in the checkout description so the charge is defensible if disputed.
- How do treatment packages work with card payments?
- Sell the full course as a single product at its package price. The client pays once through hosted checkout and redeems sessions over time. This collects the revenue up front and removes manual package tracking from the front desk.
- What does payment processing cost a med spa?
- Two separate costs: Stripe's card processing fee, billed by Stripe to your account, and the software platform fee. Enterprise Pay Gateway charges $49 to $199 a month plus a platform fee of 0.75% down to 0.40%, with negotiated 0.20%–0.35% pricing for larger groups.
- Can memberships and one-off treatments run in the same account?
- Yes. Recurring memberships, prepaid packages, deposits and retail products all run through the same connected Stripe account, the same dashboard and the same payout schedule.
- How long does it take to start accepting payments?
- Stripe verification is usually completed in minutes if you have your business details, tax identification number and owner identity documents ready. Products and checkout links can be created immediately afterwards.
